HMGCC has a unique and exciting opportunity for an Office Manager to join our office management team within the Service Operations Centre (SOC) team.

The SOC Office Manager role is a wide and varied role, providing administrative support to the entire department. This role will work closely with the Head of the SOC, supporting her in areas such as diary and calendar management, minute taking at a variety of boards and meetings and the planning and organising of department events. You will also provide support to the department Senior Leadership Team and key department functions, for example Portfolio and Project Management and Service Level Management. As such it will require an element of travel to key sites, primarily in London.

Technical Skills

We would need you to already have:

•    Previous experience of dealing with Customers/Stakeholders (internal or external)
•    Prior experience of writing business documents
•    High level of attention to detail
•    Ability to demonstrate good organisational skills
•    Willingness to travel to key sites as required.

To strengthen your application it would be desirable if you have:

•    Previous experience of minute taking
•    Prior experience of managing multiple diaries/calendars
•    Knowledge of working in an ITIL environment
•    Knowledge of working within a project environment Personal Skills

Putting Your Skills To Use

Using your expertise as part of our team you will:

•    Provide general administrative/technical support such as arranging meetings; minute taking; diary management, email triage and photo copying
•    Contribute to the effective application and development of laid down procedures adhering to time scales which enable required day to day activity to be completed
•    Resolve problems and ensure that appropriate paper and electronic records are kept and analysed producing management information that satisfy business requirements, including data inputting, filing and report generation.
•    To provide specialist guidance in response to customer/stakeholder requirements (face to face, in writing or on the phone) in an efficient and effective manner and seeking guidance where appropriate
•    To take responsibility for providing solutions to customer/stakeholder problems ensuring that the departments resources are applied efficiently and effectively in doing so
•    To assist line management with the dissemination of the policy, procedure and initiatives as required
•    Deputising for your line manager at meetings as appropriate
•    To represent the department at events, activities or meetings across or outside the organisation
